Job Title: Administrative Assistant
Job Description:
We are seeking a skilled and motivated individual to join our team as an administrative assistant to the Strata Manager, you will provide support to our team of the Strata Managers and council.
Key Responsibilities:
Building Management:
Administrative work involved in the operation of the property.
Ensure operations adhere to policies and regulations.
Oversee facilities services, maintenance, and other office activities.
Provide customer service to our property owners, tenants, and visitors to the mall building, going above and beyond to meet their needs.
Collaborate seamlessly with our Strata Property Manager and management team, fostering a culture of teamwork and mutual respect.
Proactively identify maintenance needs and take swift action to address them, ensuring our building remains in top condition.
Perform regular maintenance and repair of the property including but not limited to changing light bulbs, painting, minor drywall repair.
Maintain open lines of communication with property owners, business tenants, managers, and team members, both in person and via phone and email.
Respond promptly to on-site emergencies, demonstrating grace under pressure and a commitment to safety.
Oversee tradespeople and contractors, ensuring that all work is completed to our exacting standards.
Operate security systems and conduct regular inspections, safeguarding our residents and property.
Other office-related duties as needed.
Fluent verbal and written English and Mandarin communication skills is as an asset.
Handyman Training:
Develop and implement training programs for handymen to enhance their technical skills and knowledge of building systems.
Provide hands-on training and guidance to handymen on proper maintenance procedures, safety protocols, and customer service standards.
Documentation and Reporting:
Maintain accurate records of maintenance activities, including work orders, inspections, and repairs.
Collaborate with the management team to develop strategies for optimizing maintenance operations and enhancing tenant satisfaction.
Qualifications:
Proven experience in building maintenance and facilities management, preferably in a commercial or residential property management setting.
Proficiency in handyman skills is a requirement for this role.
Knowledge of safety regulations and best practices related to building maintenance.
Ability to prioritize tasks, manage time efficiently, and work independently with minimal supervision.
Proficiency in computer applications such as Microsoft Office and property management software
Education and Certifications:
High school diploma or equivalent required.
Technical certifications or vocational training in building maintenance or related fields preferred.
