Key Responsibilities:
• Supervision and Coordination: o Coordinate, assign, and review the work of administrative clerks engaged in various duties, including word processing, record keeping, data entry, operating telephones and switchboards, and desktop publishing. o Establish work schedules and procedures to ensure the efficient and effective completion of tasks. o Coordinate activities with other work units or departments to facilitate communication and collaboration. • Problem Resolution and Reporting: o Resolve work-related problems promptly and effectively, ensuring a harmonious work environment. o Prepare and submit progress reports, as well as other reports required by management. • Training and Development: o Train workers in job duties, safety procedures, and company policies to enhance their skills and knowledge. o Foster a culture of continuous improvement by providing guidance and support to the clerical team. • Resource Management: o Requisition necessary supplies and materials to ensure adequate resources are available for day-to-day operations. o Oversee inventory management and control expenses related to supplies. • Equipment Maintenance: o Ensure the smooth operation of office equipment and machinery, promptly addressing any issues or malfunctions. o Arrange for maintenance and repair work when necessary to minimize downtime. • Hands-On Participation (if required): o May perform the same duties as workers supervised during peak workloads or to maintain familiarity with tasks.
Qualification:
• High school diploma or equivalent; additional education or relevant certifications is a plus. • Proven experience in administrative roles, with a minimum of 8+ years in a supervisory or leadership capacity. • Proficiency in office software and equipment, including word processing, data entry, and telecommunication systems. • Strong organizational and problem-solving skills. • Excellent communication and interpersonal abilities. • Knowledge of safety procedures and company policies. • Ability to work collaboratively and adapt to changing priorities.
